Terms of Sale
1. Nature of the service and scope of application
The activities sold directly by Alpine World consist exclusively of professional guiding and teaching services carried out by an IFMGA/UIAGM Mountain Guide in accordance with applicable regulations.
These services do not constitute the organisation or sale of travel packages. Any ancillary services such as accommodation, meals, transport, ski lifts or other services provided by third parties are not part of the mountain guiding service contract, even if they are suggested or booked as a courtesy. For such services, the contractual relationship is directly between the participant and the provider.
These terms and conditions apply exclusively to activities sold directly by Alpine World. In the case of travel packages organised through partner Tour Operators, Alpine World may collect the request, carry out the initial technical assessment and provide the professional mountain guiding service, but the travel contract is deemed to be concluded with the organising Tour Operator and the relevant contractual terms and conditions shall apply.
2.1 Included services
The guiding service fee includes:
- professional accompaniment by an IFMGA/UIAGM Mountain Guide;
- professional civil liability insurance coverage of the Mountain Guide;
- use of shared technical rope-team equipment, where applicable.
2.2 Excluded services
Unless otherwise indicated in the activity description, the fee does not include:
- personal cancellation, accident, medical expenses, search or rescue insurance;
- rental of personal equipment;
- transport costs, accommodation and meals, ski lifts;
- any logistical costs arising from changes to the programme;
- anything not expressly listed among the included services.
Any additional costs for ski lifts, mountain huts, hotels or transport made necessary by changes to the programme due to weather conditions, route conditions or logistical requirements are not included. Any changes will always be agreed in advance with the participant before being implemented.
3. Participation requirements
Participation in the activities is subject to:
completion of the self-assessment questionnaire;
signing of the declaration acknowledging the characteristics of the activity and the associated risks;
positive assessment by the Mountain Guide regarding the participant’s technical and psycho-physical suitability.
The participant is responsible for the accuracy of the information provided regarding their experience, physical condition and health status.
The Mountain Guide reserves the right not to confirm the booking if the suitability conditions for carrying out the activity are not met.
During the activity, the participant must follow the operational instructions given by the Mountain Guide.
4. Booking, deposit and confirmation
4.1 Booking request and “under review” status
Bookings for activities sold directly by Alpine World are made through the Alpine World website or by written agreement between the parties.
At the time of the booking request, a deposit equal to 30% of the guiding service fee must be paid.
Payment of the deposit does not automatically confirm the activity. After receiving the request and the deposit payment, Alpine World takes charge of the request, which remains in “under review” status.
During this phase, Alpine World checks the customer questionnaire, declared experience, technical level, physical fitness, participant suitability, guide availability, logistics, any mountain huts or facilities involved and the general feasibility conditions.
4.2 Private activities
For private activities, the dates indicated by the customer are to be considered requested dates and are not automatically confirmed.
Alpine World assesses the compatibility of the request with the indicated period, level of flexibility, guide availability, logistics, any facilities involved and the profile of the participant or group.
If Alpine World is unable to propose a compatible solution, the amount paid will be refunded or, at the customer’s request, transferred to another date or activity.
4.3 Collective activities, courses and open groups
For collective activities, courses and open groups, final confirmation takes place only once the minimum number of participants indicated in the activity description has been reached and after the necessary organisational checks have been completed.
If the minimum number is not reached, Alpine World may propose a new date, propose that the activity take place with an adjusted fee based on the actual number of participants, or refund the amount paid.
4.4 Balance and final confirmation
When the activity is organisationally confirmable, Alpine World sends a written communication and requests payment of the remaining balance. Organisational feasibility may also be established well in advance of the activity date, depending on guide availability, the minimum number of participants being reached, mountain hut or facility bookings, logistics and generally foreseeable conditions.
The balance must be paid within the deadline indicated in the confirmation communication. This deadline may vary depending on the proximity of the date, the type of activity and organisational requirements.
The booking is considered definitively confirmed by Alpine World only after payment of the full amount.
In the event of failure to pay the balance within the indicated deadline, Alpine World reserves the right to cancel the booking and retain the deposit paid.
5. Prices and payments
Payment methods are defined during the booking process.
For activities sold directly by Alpine World, payments are made according to the methods indicated by Alpine World. The fee refers exclusively to the professional mountain guiding service.
Any personal and logistical expenses not included in the fee remain the responsibility of the participant.
For travel packages organised through partner Tour Operators, the prices may also include services in addition to the Mountain Guide’s accompaniment, such as accommodation, meals, transport, logistics, local services or other elements indicated in the package description. In such cases, payments, balance conditions, insurance, cancellations and any refunds are managed by the organising Tour Operator according to its own contractual terms and conditions.
6. Cancellation by the participant
Cancellation requests must be sent in writing by email and take effect from the moment they are received by Alpine World.
6.1 Private activities sold directly by Alpine World
For private activities sold directly by Alpine World, the cancellation policy applies to the amounts actually paid by the participant or group at the time of cancellation.
In the event of cancellation by the participant or group, the following conditions apply to the amounts already paid:
more than 120 days before the start of the activity: no penalty;
from 120 to 91 days before the start of the activity: penalty equal to 30% of the amount paid;
from 90 to 61 days before the start of the activity: penalty equal to 50% of the amount paid;
60 days or less before the start of the activity: penalty equal to 100% of the amount paid.
In the event of a justified and documented cancellation, Alpine World reserves the right, at its sole discretion, to issue a conversion voucher to reschedule another activity within one year from the cancellation.
6.2 Collective activities, courses and open groups sold directly by Alpine World
For collective activities, courses and open groups sold directly by Alpine World, until the final confirmation of the activity, the following cancellation policy applies to the amounts paid as a deposit:
more than 120 days before the start of the activity: no penalty;
from 120 to 91 days before the start of the activity: penalty equal to 30% of the amount paid;
from 90 to 61 days before the start of the activity: penalty equal to 50% of the amount paid;
60 days or less before the start of the activity: penalty equal to 100% of the amount paid.
After the final confirmation of the activity, and in particular after payment of the balance, cancellation by an individual participant may compromise the organisational and economic balance of the group. For this reason, in the event of withdrawal by the participant after final confirmation, no refund of the amounts paid is provided.
Any date changes or participant substitutions are not automatic and require a written agreement between the parties.
6.3 No-show or voluntary interruption
In the event of no-show by the participant, withdrawal on the same day or voluntary interruption of the activity after it has started, no refund is provided.
7. Changes or cancellation due to conditions, logistics or risk management
Activities take place in a mountain environment and are subject to continuous assessment of weather, environmental and snow conditions, as well as the physical and mental condition of the participants.
The Mountain Guide is responsible for the technical and operational decisions relating to progression, the itinerary, the objective of the activity and any interruption of the activity.
If conditions do not allow the activity to take place according to the planned programme, Alpine World or the Mountain Guide may:
propose a new date;
propose an alternative itinerary with comparable technical characteristics and commitment;
modify the programme;
cancel the activity before it starts.
Reaching a summit, completing the original itinerary or carrying out the programme exactly as described is not guaranteed.
In the event of cancellation before the start of the activity by decision of Alpine World, the amount paid for the guiding service will be refunded or a new date will be agreed.
If the activity is modified or interrupted during its execution for reasons related to conditions, risk management or the physical or mental condition of the participants, no refund of the guiding service is provided.
Any costs incurred for third-party services remain governed by the terms and conditions of the respective providers.
8. Insurance
The Mountain Guide is covered by professional civil liability insurance.
Participants are strongly advised to take out personal insurance covering cancellation, accidents, medical expenses, search and rescue.
Alpine World is not responsible for personal costs incurred by the participant, including flights, hotels, transfers, rentals, insurance or other services purchased independently.
In the absence of personal insurance coverage, any rescue, search, evacuation or assistance costs remain the responsibility of the participant.
9. Technical levels, equipment and conduct
For each activity, the required technical level, physical commitment and necessary equipment are indicated.
The participant is responsible for arriving with the required equipment and in suitable physical and technical condition.
The Mountain Guide may exclude from participation, even on the day of the activity, anyone who is not deemed suitable due to technical or physical condition or inadequate equipment.
The participant undertakes to follow the Mountain Guide’s instructions and to maintain prudent and cooperative behaviour.
10. Travel packages organised through Tour Operator
For travel packages organised through partner Tour Operators, Alpine World may collect the request, carry out the initial technical assessment of the activity and provide the professional service of an IFMGA/UIAGM Mountain Guide.
The travel contract, payments, insurance, cancellation conditions, any penalties and contractual responsibilities are managed exclusively by the organising Tour Operator and are governed by its contractual terms and conditions.
For these packages, the Tour Operator’s sales conditions therefore apply and will be made available to the customer before the booking is confirmed.
